Operation Section Compactus 7A Suggestions




Dear Kak Kam,

From my point of view in handling Operation Compactus plus with previous caretaker opinions, i hereby list down the difficulties faced and my suggestions in order to make the jobs done much easier for Officer and caretaker alike;

(a) Missing Documents
Suggestion:
List down and create a database for each and every documents coming-in to the compactus. The database is then shared with the officer in Operations. This is currently being done whereby i classified the document meant for storing in 4 categories, namely Document Title, Document Date, Document References Number & Daily References Number. Or maybe we can just scanned all document prior to be filed & have a database on it as well.

(b) Missing Files & Files not arranged accordingly using the current system - Messy
Suggestion:
Make it compulsory that only the caretaker can enter the compactus and took file needed by Officer thus lessen the chances of missing files & arrangement can be done centrally. This system are being done in Banking Supervision & maybe we can have some sort of borrowing scheme like in the library for files.

(c) Not enough space for files
Suggestion:
Identify files needed to be sent to Archive, this requires collaboration between the caretaker & officer of FIs that has a number of closed file.

(d) Borrower of file did not record
Suggestion:
Back to the centralisation hence none of the file are going out without a record.

With these 4 suggestions, i conclude my ramblings and hope that there won't be any difficulties for any future & current caretaker for Operations 7A compactus. Just my 2 cents opinion. Thank you.
